Welcome to AIChatbotopia. These Terms and Conditions govern your access to aichatbotopia.com and your purchase or use of our AI chatbot scripting, development, deployment, integration, management, and related services.
By accessing our website, requesting a quote, purchasing a plan, or using our services, you agree to these Terms and Conditions. If you do not agree, please do not use our website or services.
1. About AIChatbotopia
AIChatbotopia provides custom AI chatbot services for businesses. Our services may include:
- Conversation and brand-voice scripting;
- Website chatbot development;
- WhatsApp, Instagram, Messenger, and Google Business Profile deployment;
- Lead qualification and booking flows;
- CRM and calendar integrations;
- Chatbot testing and quality assurance;
- Monthly monitoring and script revisions; and
- Ongoing technical and conversation-design support.
The exact services included in your purchase depend on the selected plan, custom quotation, proposal, invoice, or written agreement.
2. Eligibility
You must be at least 18 years old and legally capable of entering into a binding agreement to purchase our services.
When purchasing on behalf of a business or organization, you confirm that you have authority to accept these Terms on its behalf.
3. Service Plans and Pricing
AIChatbotopia currently offers Draft, Script, Feature, and custom service options.
Plans may include a one-time setup fee and a recurring monthly management fee. Current prices, conversation limits, supported channels, integrations, and plan features are displayed on our website or provided in a custom quotation.
We may update our pricing or plan features at any time. Pricing changes will not apply retroactively to payments already completed. Any change to an active recurring plan will be communicated before it applies where required.
Custom integrations, additional channels, expanded conversation limits, major scope changes, third-party costs, or services outside the selected plan may require additional payment.
4. Orders and Payments
By placing an order, you agree to:
- Provide accurate billing and business information;
- Pay all applicable setup fees, monthly charges, taxes, and approved additional costs;
- Maintain a valid payment method for recurring services; and
- Review the selected plan before completing payment.
Setup work may begin after payment, onboarding information, required access, and project materials have been received.
Monthly fees are charged according to the billing cycle stated during checkout, on the invoice, or in the service agreement.
Failure to pay an amount when due may result in paused work, suspension of the chatbot, removal of integrations, or termination of services.
5. Recurring Billing and Cancellation
Monthly chatbot management plans renew automatically according to the applicable billing cycle unless cancelled before the next billing date.
Clients may request cancellation by contacting:
order@aichatbotopia.com or support@aichatbotopia.com
A cancellation applies to future billing cycles. It does not create a refund for:
- Setup fees;
- The current billing period;
- Completed or partially completed work;
- Third-party expenses;
- Custom development; or
- Services already delivered.
After cancellation becomes effective, ongoing monitoring, revisions, support, hosting, integrations, or chatbot functionality provided through AIChatbotopia may stop.
The client is responsible for exporting any information reasonably available to them before the service ends.
6. No Refunds
Due to the customized, digital, and virtual nature of our services, all purchases are final and non-refundable to the fullest extent permitted by applicable law.
Once payment is made, resources may be allocated immediately to research, scripting, development, design, configuration, integrations, or project management.
A client’s failure to provide information, approvals, content, platform access, or feedback does not qualify the purchase for a refund.
Nothing in these Terms limits any mandatory legal rights that cannot be waived or excluded.
7. Delivery and Setup Time
The standard estimated setup time is 7 to 14 days after we receive:
- Required payment;
- Complete onboarding information;
- Business FAQs and policies;
- Brand-voice guidance;
- Platform and integration access; and
- Timely feedback or approvals.
This timeframe is an estimate, not a guaranteed completion date.
Delivery may take longer because of project complexity, custom integrations, client delays, revision requests, third-party approvals, platform restrictions, API issues, or circumstances outside our reasonable control.
8. Unlimited Revisions
All plans include unlimited reasonable revisions within the originally agreed scope.
Revisions may include reasonable changes to:
- Wording and tone;
- Approved conversation flows;
- FAQs and lead questions;
- Brand-voice alignment; and
- Minor chatbot behaviour or presentation settings.
Unlimited revisions do not include:
- Creating an entirely new chatbot or script;
- Changing the original business, brand, audience, or project purpose;
- Adding channels or integrations not included in the plan;
- Developing new features outside the agreed scope;
- Rebuilding work after approval because of a complete change in direction; or
- Revisions involving abusive, unlawful, or commercially unreasonable requests.
Major scope changes may require a revised quotation and additional payment.
9. Client Responsibilities
The client agrees to provide accurate, current, and lawful information required to complete the project.
The client is responsible for reviewing and approving:
- Chatbot scripts;
- Business information;
- Prices, offers, and availability;
- Policies and disclaimers;
- Lead-qualification questions;
- Booking instructions;
- Automated responses; and
- Industry-specific content.
The client must promptly inform AIChatbotopia when its services, prices, hours, policies, availability, or other business details change.
The client is responsible for ensuring that its chatbot, business practices, and use of collected information comply with applicable privacy, advertising, consumer-protection, accessibility, messaging, and industry-specific laws.
10. AI Chatbot Limitations
AI chatbots use automated technology and may occasionally misunderstand a message, provide incomplete information, generate an unexpected response, or fail because of a technical or third-party issue.
AIChatbotopia does not guarantee that:
- Every response will be completely accurate;
- The chatbot will understand every user;
- Services will be uninterrupted or error-free;
- Every message will result in a lead or booking; or
- The chatbot will be suitable for high-risk professional decisions.
Clients should maintain reasonable human oversight and review important customer conversations.
Unless expressly agreed in writing, our chatbots must not be used as the sole source of medical, legal, financial, emergency, employment, credit, insurance, or other high-impact advice or decisions.
11. No Guaranteed Business Results
We do not guarantee any particular number of conversations, leads, bookings, appointments, sales, conversions, revenue, or cost savings.
Performance depends on several factors outside our control, including:
- Website traffic;
- Audience quality;
- The client’s products and services;
- Pricing and offers;
- Customer demand;
- Client follow-up;
- Platform availability; and
- Market conditions.
Examples, projections, testimonials, or previous results do not guarantee similar outcomes for another client.
12. Third-Party Platforms and Integrations
Our services may depend on third-party platforms, including AI providers, website hosts, messaging services, social networks, payment processors, CRMs, calendars, APIs, and booking tools.
Clients may be required to maintain their own accounts, permissions, subscriptions, approvals, or API access with these providers.
AIChatbotopia is not responsible for:
- Third-party outages;
- API changes or restrictions;
- Account suspensions;
- Platform approval delays;
- Changes in third-party fees;
- Removed or discontinued features;
- Data loss caused by an external provider; or
- Integration failures outside our reasonable control.
Additional third-party fees are the client’s responsibility unless expressly included in writing.
13. Acceptable Use
You may not use our website or services to:
- Violate any applicable law;
- Commit fraud or impersonate another person;
- Send spam or unauthorized messages;
- Harass, threaten, or discriminate against others;
- Collect information without appropriate notice or permission;
- Distribute malware or harmful code;
- Infringe intellectual-property or privacy rights;
- Generate deceptive or intentionally misleading communications;
- Promote illegal products or services; or
- Attempt to bypass security, platform limits, or access controls.
We may suspend or terminate services if we reasonably believe they are being used unlawfully, deceptively, abusively, or in a way that could harm AIChatbotopia, a third party, or the public.
14. Intellectual Property
AIChatbotopia retains ownership of its pre-existing tools, systems, methods, frameworks, templates, processes, technical components, internal documentation, and general expertise.
After full payment, the client may use the final approved custom chatbot scripts and project deliverables for its own business purposes, subject to any third-party licensing restrictions.
The client grants AIChatbotopia permission to use materials it provides solely as needed to deliver and support the services.
The client confirms that it owns or has permission to use all logos, text, images, trademarks, customer information, business materials, and other content supplied to us.
Unless the client objects in writing, we may identify the client as a customer and display non-confidential project information in our portfolio. We will not publish confidential business information or private chatbot conversations without authorization.
15. Confidentiality
Each party agrees to use reasonable care to protect confidential information received during the project.
Confidential information does not include information that:
- Is publicly available without a breach of these Terms;
- Was lawfully known before disclosure;
- Is independently developed;
- Is received lawfully from another source; or
- Must be disclosed under applicable law.
Clients should not provide passwords, payment-card information, medical records, or other unnecessary sensitive information through ordinary email or live chat.
16. Data and Privacy
Our collection and processing of personal information are described in our Privacy Policy and Cookies Policy.
When AIChatbotopia processes chatbot conversation information on behalf of a client, the client remains responsible for determining the lawful purpose of collection, providing appropriate privacy notices, and responding to requests from its customers.
Additional data-processing terms may apply where required by law or agreed in writing.
17. Suspension and Termination
We may suspend or terminate a service when:
- Payment is overdue;
- The client materially breaches these Terms;
- Required access or cooperation is not provided;
- The service is used unlawfully or abusively;
- A third-party platform prevents continued delivery; or
- Continued service creates a legal, security, or reputational risk.
Termination does not remove the client’s obligation to pay amounts already due.
Sections relating to payments, intellectual property, confidentiality, disclaimers, liability, and disputes will continue to apply after termination where relevant.
18. Disclaimer of Warranties
To the fullest extent permitted by law, our website and services are provided on an “as available” basis.
We do not provide warranties that the services will be uninterrupted, completely secure, error-free, compatible with every third-party platform, or suitable for every business purpose.
Any warranties that cannot legally be excluded remain unaffected.
19. Limitation of Liability
To the fullest extent permitted by applicable law, AIChatbotopia and its owners, employees, contractors, and service providers will not be liable for indirect, incidental, special, consequential, or punitive damages arising from the website or services.
This includes loss of:
- Revenue or profit;
- Business opportunities;
- Leads or bookings;
- Data;
- Reputation;
- Goodwill; or
- Business continuity.
Where liability cannot be completely excluded, AIChatbotopia’s total liability relating to a particular claim will not exceed the amount paid by the client to AIChatbotopia for the affected service during the three months immediately preceding the event giving rise to the claim.
This limitation does not apply to liability that cannot legally be limited.
20. Indemnification
To the extent permitted by law, the client agrees to defend, indemnify, and hold harmless AIChatbotopia and its representatives from third-party claims, losses, damages, or reasonable expenses arising from:
- Materials supplied by the client;
- The client’s products, services, claims, or policies;
- Unlawful use of the chatbot;
- The client’s breach of these Terms;
- Infringement of another person’s rights; or
- The client’s failure to comply with applicable laws.
21. Governing Law and Disputes
These Terms will be governed by the laws applicable in the jurisdiction where AIChatbotopia is legally registered, without regard to conflict-of-law principles.
The parties agree to first attempt to resolve any dispute through good-faith written communication.
If a dispute cannot be resolved informally, it will be handled by the courts or dispute-resolution process having lawful jurisdiction, unless another process is required by applicable consumer law or agreed in writing.
22. Changes to These Terms
We may update these Terms to reflect changes in our services, pricing practices, technology, or legal obligations.
The updated Terms will be posted on this page with a revised “Last Updated” date.
Changes will apply prospectively unless otherwise required by law. Continued use of our website or services after an update constitutes acceptance of the revised Terms.
23. Severability
If any provision of these Terms is found invalid or unenforceable, the remaining provisions will continue in effect.
Our failure to enforce a provision does not waive our right to enforce it later.
24. Entire Agreement
These Terms, together with the applicable proposal, invoice, order details, Privacy Policy, Cookies Policy, Refund Policy, Delivery Policy, and any signed service agreement, form the entire agreement concerning the services.
Where a signed service agreement conflicts with these website Terms, the signed agreement will control for that particular project.
