Return and Refund Policy

This Return and Refund Policy explains the payment, refund, revision, and cancellation terms that apply to services purchased from AIChatbotopia through aichatbotopia.com.

By purchasing a service from us, you acknowledge and agree to this policy.

1. Digital and Customized Services

AIChatbotopia provides customized digital and virtual services, including:

  • AI chatbot conversation scripting;
  • Chatbot design and development;
  • Website and messaging-channel deployment;
  • CRM, calendar, and booking integrations;
  • Brand-voice customization;
  • Testing and quality assurance;
  • Monthly chatbot monitoring; and
  • Ongoing script revisions and management.

Because our services are created specifically for each client and work may begin shortly after payment, purchases are generally final and non-refundable.

Physical products are not sold or shipped, so physical returns do not apply.

2. Non-Refundable Setup Fees

All setup fees are non-refundable once an order has been accepted and work has started.

Setup work may include:

  • Project onboarding;
  • Business and audience research;
  • Conversation planning;
  • Scriptwriting;
  • Chatbot configuration;
  • Widget customization;
  • Integration preparation;
  • Testing; and
  • Allocation of development and conversation-design resources.

A change of mind, delayed client response, failure to provide required materials, or decision not to use the completed chatbot does not qualify for a refund.

3. Monthly Service Fees

Monthly charges cover ongoing chatbot services for the applicable billing period, which may include:

  • Hosting or platform management;
  • Conversation monitoring;
  • Script revisions;
  • Tone checks;
  • Performance reporting;
  • Integration maintenance; and
  • Customer support.

Monthly payments are non-refundable after the billing cycle has started, including when the client does not fully use the service during that period.

No partial, prorated, or unused-time refund will normally be issued for the current billing cycle.

4. Subscription Cancellation

Clients may cancel their recurring monthly plan at any time before the next billing cycle.

Please provide the business name, account email, and relevant order or invoice information so we can identify the subscription.

A valid cancellation stops future renewals. It does not refund:

  • Setup fees;
  • The current monthly payment;
  • Completed or partially completed work;
  • Custom development charges;
  • Third-party expenses; or
  • Previous billing periods.

Services will normally remain available until the end of the already-paid billing period unless suspension is required because of non-payment, misuse, a security concern, or a third-party platform issue.

5. Unlimited Revisions

All AIChatbotopia plans include unlimited reasonable revisions within the original agreed scope.

We will work with the client to correct or improve items such as:

  • Chatbot wording;
  • Brand tone;
  • FAQs;
  • Lead-qualification questions;
  • Booking flows;
  • Conversation structure; and
  • Minor design or configuration details.

Unlimited revisions are provided as the primary remedy when the client is dissatisfied with work that remains within the original project scope.

Unlimited revisions do not include:

  • Creating a completely new chatbot;
  • Replacing the original project with a different business or brand;
  • Adding channels not included in the purchased plan;
  • Adding new features or integrations outside the agreed scope;
  • Rebuilding approved work after a complete change in direction; or
  • Requests that are unlawful, abusive, technically impossible, or commercially unreasonable.

Additional work may require a separate quotation.

6. Client Delays or Incomplete Information

Refunds will not be provided when a project is delayed or cannot be completed because the client:

  • Fails to provide requested information;
  • Provides inaccurate or incomplete business details;
  • Does not provide required platform access;
  • Delays approvals or feedback;
  • Stops responding during the project;
  • Changes the project scope; or
  • Fails to meet third-party platform requirements.

We may pause the project until the required materials or access are provided.

7. Estimated Delivery Time

Our standard setup period is approximately 7 to 14 days after we receive payment, onboarding information, required access, and project materials.

This is an estimated timeframe rather than a guaranteed deadline.

A delay does not automatically qualify for a refund when it results from:

  • Client feedback or approval delays;
  • Revision requests;
  • Custom integration complexity;
  • Platform approval requirements;
  • API limitations;
  • Third-party outages; or
  • Circumstances outside our reasonable control.

If AIChatbotopia is unable to provide the core purchased service for reasons solely within our control, we will review the matter and may offer an appropriate correction, service credit, partial refund, or refund where required by law.

8. Duplicate or Incorrect Charges

Please contact us promptly if you believe that:

  • You were charged more than once for the same order;
  • An incorrect amount was charged;
  • A payment continued after a confirmed cancellation; or
  • The charge does not match the agreed invoice or plan.

Once verified, an accidental duplicate or incorrect charge will be corrected or refunded to the original payment method.

Processing times may depend on the payment provider or financial institution.

9. Unauthorized Payments

If you believe a payment was made without authorization, contact us immediately at order@aichatbotopia.com.

We may request reasonable information to verify the account, payment, and identity of the person submitting the request.

You should also contact your bank, card provider, or payment provider promptly if you suspect unauthorized account activity.

10. Chargebacks and Payment Disputes

Clients should contact AIChatbotopia before initiating a chargeback so we have an opportunity to investigate and resolve the issue.

Submitting a false, misleading, or unjustified payment dispute after authorized customized work has been performed may result in:

  • Suspension or termination of services;
  • Cancellation of platform access;
  • Submission of project records to the payment provider; and
  • Recovery of unpaid amounts where permitted by law.

Nothing in this section prevents a client from using legitimate rights available through their bank, payment provider, or applicable law.

11. Refund Method and Processing

Any refund approved by AIChatbotopia will normally be returned through the original payment method.

The time required for the funds to appear may depend on the payment processor, bank, card network, currency, and customer location.

Transaction fees, currency-conversion differences, or third-party charges may be non-refundable unless otherwise required by law.

12. Mandatory Consumer Rights

Nothing in this policy is intended to remove or restrict a customer’s rights that cannot legally be waived.

Certain customers may have statutory cancellation, refund, correction, or service-performance rights based on their location and whether they purchased as a consumer or on behalf of a business.

Where mandatory law conflicts with this policy, the applicable mandatory law will take priority.

13. Policy Changes

We may update this Return and Refund Policy to reflect changes in our services, payment practices, or legal obligations.

The revised policy will be published on this page with an updated “Last Updated” date.

The policy in effect on the date of purchase will generally apply to that order, except where a change is legally required.
